The Challenge
RCSI’s Emergency Medicine training programme relied on a combination of paper forms and manual processes to support trainee assessment and progression. As the programme evolved, there was an opportunity to move to a more streamlined digital approach that could improve efficiency, accessibility, and consistency across the trainee journey.
Ultrasound training formed an important component of the programme, but there was no dedicated online method for capturing scans for review or for inclusion within a trainee’s portfolio. Training evidence was therefore managed offline using local tools and processes, making it more difficult to centralise records and maintain a single view of trainee progression. Given the scale and complexity of the programme, RCSI identified the need for a modern, secure, and future‑ready digital solution to support both core training administration and specialist training requirements.
The Solution
RCSI partnered with TEKenable, following a competitive tender process, to build a secure, cloud‑based digital platform for Emergency Medicine training. The solution introduced a unified trainee portfolio where trainees can complete electronic forms, upload supporting materials, and track their progression in one place, while trainers and administrators gain centralised visibility of training activity. As part of the platform, TEKenable developed a bespoke Ultrasound Logbook, providing an online method for trainees to upload ultrasound images and videos directly into structured categories within their portfolio. Supervisors can review submissions, provide feedback, and formally sign off progress within the same system. The platform also includes AI‑assisted detection of patient‑identifiable information in uploaded media, supporting secure data handling. The solution was developed collaboratively with RCSI’s clinical and technical teams through requirements gathering, iterative development, and preparation for academic‑year rollout.
The Outcome
- Reduced administrative workload: Eliminates paper handling, scanning, filing, and manual document management processes.
- Improved accuracy and governance: Digital workflows and AI‑assisted checks support consistent handling of training evidence.
- Better trainee experience: A streamlined, online portfolio simplifies submissions and progress tracking in a demanding specialty.
- Enhanced oversight: Administrative and training teams can quickly identify outstanding items, run reports, and monitor trainee progression.
- Modern, scalable system: Replaces disjointed manual processes with a professional, integrated digital training platform.
- Ready for future AI innovation: Establishes a foundation for enhanced analytics, reporting, and future AI‑enabled capabilities.
