A More Efficient Way to Track Time for Humanitarian Work

The Challenge

Concern Worldwide, a global humanitarian NGO, operates across multiple countries and manages funding from public donations as well as a range of institutional donors. To support this work, the organisation places a strong emphasis on financial accountability, including accurately allocating staff time to specific grants and projects.

As Concern continued to expand global operations, they identified an opportunity to modernise and standardise timesheet processes across country offices. The organisation required a solution that could support diverse working environments, including locations where staff may not always have access to email accounts, laptops, or consistent internet connectivity. At the same time, the system needed to align with donor reporting requirements and allow managers to liaise with their staff working in low connectivity settings, in order to assist them in capturing and allocating their time to projects and donors.

The Solution

TEKenable built a customised Timesheet Management Application tailored to Concern’s operations and the scale of its international programmes. Staff with internet access could submit timesheets digitally, while managers could liaise with their staff in low-connectivity areas in order to assist them in filling in their timesheets, ensuring all time was captured across diverse global locations.

The Timesheet App allows funding profiles to be displayed, with any variances automatically flagged for review, strengthening financial oversight and donor accountability. Digital workflows replaced paper processes, introducing automated reminders, streamlined approvals, delegated submissions, and centralised reporting to significantly reduce manual effort and administrative burden.

The solution was designed to support offline environments and a multi-country rollout, while embedding strong governance, security, and auditability. Structured reporting and clear approval trails provided enhanced transparency and accountability, giving leadership greater visibility into resource allocation and ensuring compliance with donor and organisational reporting requirements across Concern’s international operations.

Technology Used

Built on Microsoft Power Platform, the solution combined Power Apps, Microsoft Dataverse and Power Automate to create a secure, scalable and low-code timesheet management application. The platform enabled structured data capture, automated workflows, role-based access, approvals, auditability, central reporting and export capabilities, giving Concern a modern digital solution that could be rolled out consistently across multiple regions.
